Conducting an Audio Meeting

Depending on availability, a meeting may include computer audio support or telephone conference services. Both provide audio communications to use during meetings.

Note For both computer audio and telephone conference services, if a participant mutes their own connection, the chair cannot unmute them.

Muting participants

When a meeting includes computer audio and video, tools are provided to mute all participants or individual participants during a meeting.

  • To mute or unmute all meeting participants, click the Audio Controls icon Audio controls at the top of the participants list and click Mute All or Unmute All.
  • To mute and unmute individual participants, click the connection icon beside a name in the Participants' List and then click Mute User/Unmute User.

Switching the Audio Mode

All meetings that include computer audio begin in Automatic Microphone mode. You might want to switch to Request Microphone mode when:

  • You are the chair in a large meeting in which only a few people need to speak.
  • Your meeting does not include much interactive discussion.
  • Your meeting includes very structured turn-taking when people speak.
  • There is a lot of background noise, which causes the Automatic Microphone mode to pick up audio from people who are not speaking

To switch to Request Microphone mode, choose Tools - Audio - "Switch to Request Microphone." Everyone in the meeting must now request the microphone before speaking. To return to Automatic Microphone mode, choose Tools - Audio - "Switch to Automatic Microphone."

Passing the Microphone

During meetings that use the Request Microphone mode of computer audio, the chair can pass the microphone from the current speaker to the next speaker who has requested it. The chair might pass the microphone if the current speaker:

  • Leaves the meeting without releasing the microphone.
  • Is unsure how to release the microphone.
  • Exceeds a time limit for a speech.
  • Is causing persistent audio problems for other participants. For example, the current speaker's computer might be generating noise that causes audio problems for others. See Troubleshooting Audio and Video During a Meeting for more information about resolving audio problems.

To pass the microphone, click the Pass Microphone icon Pass microphone. The next person who is waiting to talk receives the microphone. If no one else has requested the microphone, the microphone is simply revoked from the current speaker.
