Monitoring the Length of the Meeting

During a meeting, the chair can monitor the length of the meeting to ensure that it does not end before the participants have concluded their business or continue after all the participants have left. For example, the chair can extend the meeting for half an hour or end the meeting if the participants have concluded their business sooner than expected.

Although the chair controls the meeting duration, the system administrator can choose to automatically extend all Lotus Sametime meetings by a designated length of time. If the administrator does not automatically extend all meetings, your meeting will end at the designated time, and you will lose any unsaved meeting information (such as a drawing on the whiteboard or annotated slides). To prevent this situation, the chair can extend the meeting duration using the procedure below.

Changing the Duration of the Meeting

The chair can lengthen or shorten the meeting at any time during the meeting.

  1. Click Edit - Edit Meeting Information.
  2. Change the duration of the meeting. Click OK.

Note If your meeting includes a telephone conference call, the duration of the call is not changed when you change the duration of the meeting.

Ending the Meeting

The chair can end the meeting for all participants by choosing File - End Meeting at any time during the meeting. The meeting ends immediately for all participants, and the Meeting Room closes.

A meeting does not automatically end when the chair leaves. If only one person has chaired a meeting, the meeting continues without a chair when the chair leaves. Participants are then unable to control many aspects of the meeting. To prevent this situation, the chair should always select another chair before leaving the meeting. Note If your meeting includes a telephone conference call, the call does not automatically end when you end the meeting. The call continues until the scheduled end time for the meeting.
