Using Screen Sharing for a Presentation

You can use the whiteboard, slides or screen sharing to present information during a meeting. Choose screen sharing, for example, when you want to show animated graphics or allow others to change your original file.

You can also use screen sharing to demonstrate a process. For example, you might want to use screen sharing to teach a large number of people how to use a software program.

Your administrator can limit your access to screen sharing capabilities. The administrator might deny you access to screen sharing altogether, or might limit you to only sharing applications.

To give a presentation with screen sharing:

  1. Choose a sharing method. The method you choose depends on your purpose. For example, if you want to present a file that you prepared in Microsoft ® PowerPoint®, open PowerPoint and the file you want to share on your computer, choose to share "A currently running application," select PowerPoint, and click OK.   2. Present your information. The way you conduct your presentation depends on how much interaction you want in the meeting.
    • Most presentations do not require other participants to edit the shared information. If you do not want others to make changes to your presentation, do not allow others to control the screen. Continue and proceed to step 3.
    • If you do want others to make changes to your presentation (for example, if you want to allow someone to edit the file you are sharing), allow others to control the screen.
  3. Save your presentation file. Save the file on your computer.
  4. Stop sharing. When you are finished, stop sharing.

Note Do not leave the meeting while sharing your screen. If you do, others will no longer be able to see the shared screen. Be sure to stop sharing before you leave the meeting.
