Working with Meetings

You can create breakout sessions and scheduled meetings. A breakout session lets a group of meeting participants break away from a scheduled meeting to meet separately for a time, and then return to the main meeting. You can start a breakout session by selecting the participants for the meeting and choosing any audio tools, such as telephone services, for the meeting.

You can create a scheduled meeting (to start right away or in the future) by entering meeting information on the New Meeting page of the Meeting Center or from Lotus Notes.

The table below provides information about the two types of meetings.

Are created when a person clicks on an active (green) name in the Participant List of the Meeting Room).

Are created on the New Meeting page of the Meeting Center.

Occur immediately.

Can occur immediately or in the future.

Are best for small groups of people who need to meet quickly.

Are best for larger groups of people who have planned to meet.

Allow you to choose tools to start a meeting with any of the following options:

  • Audio: Communicate using computer audio.


  • Video: Communicate using computer audio and video.


  • Telephone: Communicate using telephones.


Allow you to choose telephone services and audio/video, if available.

Include a chair. The chair is the person who starts the meeting.

Include a chair. The creator of the meeting chooses the chair.

Allow you to quickly choose participants for the meeting. All other meeting options (such as repeating the meeting) are unavailable for breakout sessions.

Allow you to define several characteristics for the meeting. For example, you can:

  • Repeat the meeting at regular intervals.


  • Allow group chat.


  • Record the meeting.


  • Upload a file to present.


  • Include a meeting password.


  • Associate a telephone conference call with the meeting.
